Action Item Extractor

How to use it

  1. Paste or type your notes into the box. One thought per line works best, but full sentences and run-on paragraphs are split automatically.
  2. Check the date switch. If you write 3/10 to mean 3 October, choose “3/10 = 3 Oct”. If it means March 10, choose the other. The tool remembers your choice.
  3. Read the lanes. “Do next” is sorted by urgency: overdue and high-priority items first, then by due date. Anything assigned to someone else shows their name.
  4. Export what you need: copy a checklist, add dated items to your calendar, download a spreadsheet, or copy a recap email to send to the people involved.

Section headings are respected too. Lines under “Action items:”, “Next steps:” or “To do:” are treated as tasks; under “Decisions:” as decisions; and under “Open questions:”, “Risks:” or “Parking lot:” as questions.

Getting better results

  • Start tasks with a verb. “Send deck” is clearly a task; “deck” is just a note. The action items guide explains why this matters beyond the tool.
  • Name owners the way you'd say them: “Anita to confirm budget” or “@anita confirm budget”.
  • Mark urgency in plain words like urgent, ASAP, blocker, or “!!”. Write “low priority” or “someday” to push something down.
  • Add a when. Anything due today or tomorrow is automatically treated as high priority, and anything past its date is flagged as overdue.

Exporting your list

Copy checklist produces Markdown checkboxes that paste cleanly into Notion, Obsidian, GitHub, Google Docs and most note apps. Add to calendar downloads a standard .ics file that Google Calendar, Outlook and Apple Calendar can import, with one entry per dated item in your own time zone. Download CSV opens in Excel or Google Sheets, with formula-like text neutralised for safety. Copy recap email drafts a follow-up grouped by owner; the follow-up email guide has more templates.

Ways people use it

  • After a meeting: paste raw notes, fix anything misread, and send the recap within minutes. The meeting minutes guide covers what to capture in the room.
  • Morning brain dump: type everything on your mind for ten minutes and let the tool sort it. See the brain dump method.
  • Client chats: paste a long WhatsApp or Slack thread to pull out what was promised and any amounts mentioned.
  • Weekly review: run a week of scattered notes through it to find anything that slipped. The weekly review checklist shows the full routine.

What it can't do

Rules are fast and private, but they aren't perfect. The tool can miss tasks written without a verb or a clear marker, can mistake a capitalised company name for a person, and reads “at 5” as 5pm because most meetings happen in working hours. It doesn't understand context across different notes or remember anything between visits. Always glance over the result before you send it to anyone. Those are exactly the gaps the Note AI app is designed to close.

Questions

Does this tool upload my notes anywhere?

No. All processing happens in JavaScript inside your browser tab. Your text is never sent to our servers or to any AI service. The only storage is your browser's local storage, which keeps your draft if you refresh; clearing the box removes it.

Is it AI?

No, and that is deliberate. The free extractor uses hand-written language rules, which makes it instant, private and free for everyone. The Note AI app uses AI models for deeper understanding across all of your notes.

How does it decide who owns a task?

It looks for patterns people use when assigning work: “Raj to send…”, “Meera will…”, “@anita”, “Tom: book the room”, “(Priya)” or “– Sam” at the end of a line, and “owner: Name”. Anything without a named owner is assigned to you.

Which date formats work?

Relative dates like today, tonight, tomorrow, next week, end of month, in 3 days and weekday names; written dates like Oct 3, 3rd October and 3 Oct 2026; ISO dates like 2026-10-03; and numeric dates like 3/10, which you can read as day/month or month/day using the switch above the box. Times like 5pm, 17:30, noon and “at 5” are recognised too.

Which currencies does it understand?

US dollars, British pounds, euros and Indian rupees, written with symbols ($, £, €, ₹), codes (USD, GBP, EUR, INR, Rs) or words, including shorthand like 1.2k, 2m, 2 lakh and 1 crore.

Can I use it for confidential meetings?

Because nothing leaves your device, it is suitable for confidential notes as far as this tool is concerned. Always follow your organisation's own rules on where meeting content may be stored, including the files you export.
